Body & Soul Coaching respects your privacy and is committed to handling personal and health information responsibly. This policy explains what we collect, why we collect it, how we use and protect it, and the choices available to you.
Who we are

Information we collect
Depending on your services and interactions with us, we may collect:
name, contact details, date of birth and emergency contact details;
height, weight, goals, training history, lifestyle and nutrition information;
health, injury, medication, pre-exercise screening and PAR-Q information;
progress information such as measurements, check-ins, notes and photos you choose to provide;
app activity, bookings, purchases, communications and administrative records.
Payment card information is generally processed by our payment providers rather than stored by us.
Why we collect and use information
We use your information to respond to enquiries, assess safety and suitability, personalise and deliver coaching, training and general nutrition guidance, communicate with you, manage bookings and payments, keep appropriate business, legal and insurance records, and improve our services. We use health information only where it is reasonably necessary for these purposes or otherwise permitted by law.
How we collect information
We usually collect information directly from you through Everfit, this website, consultations, questionnaires and forms, email, telephone, booking tools and payment systems. With your consent, we may also receive relevant information from a parent, guardian or health professional.
When we disclose information
We may disclose information only as reasonably required to deliver and administer services, including to authorised support personnel and service providers such as Everfit, Squarespace, Acuity Scheduling, Stripe, MailerLite, email and cloud-storage providers. We may also disclose information to professional advisers, insurers, emergency or medical personnel where necessary, or where required or authorised by law.
Overseas processing
Some service providers may store or process information outside Australia, including in the United States or European Union. Where practical, we take reasonable steps to work with providers that offer appropriate privacy and security protections.
Marketing choices
We send marketing by email or SMS only where you have consented or where otherwise permitted by law. Marketing consent is optional and is not a condition of coaching. You can unsubscribe using the link in an email, reply STOP to an SMS, or contact us. We will action unsubscribe requests promptly.
Security and retention
We take reasonable steps to protect information from misuse, interference, loss and unauthorised access, modification or disclosure. Access is limited to people and providers who need it for authorised purposes.
Health records for adults are generally kept for at least seven years from the last health service provided. If a client was under 18 when a record was made, it is generally kept until the client turns 25. Other records are kept only as long as reasonably needed for business, legal, insurance or regulatory purposes, then securely destroyed or de-identified where appropriate.
Access and correction
You may ask to access or correct personal and health information we hold about you by contacting us. We will respond without unreasonable delay and within applicable legal timeframes. We may need to verify your identity, and any permitted refusal will be explained.

If you are not satisfied, you may contact the Office of the Australian Information Commissioner or, for NSW health privacy matters, the Information and Privacy Commission NSW.

We may update this policy from time to time. The current version will be published on this page with its effective date.
